Clark Band Boosters General Meeting Minutes
Tuesday, April 12
, 2005

Call to Order
Meeting was called to order at 7:08 p.m. by Becky Plemons.

Approval of Minutes
Minutes from the March 8, 2005 meeting were approved. Motion made by Elaine Hutzler, second by Mary Werner.

Report by Band Director – Mr. Kuentz
The jazz band participated in Palo Alto Jazz Festival this last weekend (April 9) and did very well. The judges commented to the students in person about how well they played and how mature they sounded. Mark R., Katrina W., Ryan T. and Josh M. received individual recognition, and the whole trumpet section was recognized as a group.

UIL concert and sight reading competition is this week, April 14 and 15.

                             A-3 must be at school at 7:00 am Thursday morning. They will leave for Warren high school at 7:45 am should return by 11:00 am in time for lunch. They perform at 9:20 am. Students must be in full formal dress for this performance.

A-2 performs at 3:00 p.m. We’ll leave Clark at 1:00 p.m. Students need to eat at 4th period lunch. Call time is 12:00 p.m. We will return by 6:00 p.m. because we have to wait for the buses to complete their afternoon regular school runs.

A-1 has a call time of 12:00 p.m. They also need to eat at 4th period lunch. They perform at 2:10 p.m. and will return back at 6:00 p.m. due to afternoon bus runs.

All performances are open to parents and the public, and we encourage you to come support the kids. All the performances are at Warren High School.

This Friday (April 15), Clark is hosting the 4A UIL concert and sight-reading competition.      We’ll be selling concessions that day.

There is a meeting to discuss the Washington DC trip immediately following tonight's booster meeting.

Winter guard did really well this past season. They worked very hard and performed well.  They won their 12th consecutive State championship in the TECA circuit.

Becky echoed Mr. Kuentz’s comments about the UIL contests, encouraging parents to attend, saying that it’s a shame that so few parents go to see the performances.  You really miss a great concert if you don’t go.  You’d be glad if you worked it out to go.

Thanks to Tammy Nicholson for her work on organizing the band banquet.  The students all had a great time.  There are pictures on the web site that show how much fun they had.

Congratulations to the Winter guard.  If you missed them this year, try to get there next year.

Thanks to the Uniform Committee for fitting the concert attire, particularly to Sue Patton, committee chair.

Mr. Kuentz has asked the Band Boosters to purchase stands for the Jazz Band.  We need 12 stands (boxes that go in front of students with a light).  They cost $100 each.  Since it’s over $300, it requires general membership approval.  We would pay them from the Contingency account.  Motion to approve the purchase was made by Debi Korinchock and seconded by Karen Hickman.  Motion was approved.

Becky reminded all committee chairpersons to submit a year-end report by May 31 that summarizes the committee’s activities for the school year and highlights any successes, lessons learned and/or opportunities for improvement.

Becky reminded everyone that he Jan Eulenfeld band scholarship applications are due soon – the seniors all received information about this.  If your student didn’t get one or share it with you, there are some on the table.  The application requires an essay.  Three individuals not part of the Clark Band program read the submissions and judge them without knowing the students’ names.  Winners are announced at the Spring Concert.  Please turn in the application by April 28.  No late submissions are accepted.

Senior submissions (forms were also provided to the students) are also due April 28 to put into the Spring Concert program. 

Sue Morilak is in charge of the Senior gifts.  She could use seamstresses and other help.  If you can help her, let her know at the meeting or call her.

The Nominating Committee for next year’s slate of band booster officers was formed at the last meeting.  Elaine Hutzler is the chairperson; Lynn Lee, Karen Hickman, Gus Belitzer and Mr. Kuentz are the other members of the committee.  The presented slate of officers for consideration is:

Because the Nominating Committee recommended a slate of officers, accepting nominations from the floor requires a 2/3 vote.

The general membership approved the slate of officers as presented by the Nominating Committee.

Report by Mary Lee - First Vice President, Fundraising
About 20 students participated in the Krispy Kreme fundraiser and sold about $1,500 worth of cards.  The two spring fundraisers had 29 and 20 kids participate, less than half the number that participated in the fall fundraiser.  Since it was a trip year, we wanted to maximize the opportunity to fundraise.  Let Mary know if there are ideas for next year regarding fundraising.

CD’s are available at a cost of $10 each for the three UIL concert performances and another CD with all the pictures from this year that were on the website.  You can order them tonight and can also order them with the form that will be on the website.  You can also contact Mary Lee or Roseanne Fohn to order.  The last order opportunity is the Spring Concert on May 10.

Report by Gloria Chavez – Second Vice President, Concessions
There’s one sheet for signups for concessions.  We don’t have the schedule for baseball and softball playoffs yet but she will need volunteers for those events. 

Next year, a new high school will open.  The need for concession workers will grow.  The Band Boosters get about $6,000 per year for working concessions.  That dollar amount will grow as the opportunities grow.

We have been working with two companies to purchase parade and stadium banners.  Pictures of the banners were distributed.  The parade banner will cost about $850.  The stadium banner for the band as a whole for use at football games will cost about $100 and will be about 4’ by 25’.  Another banner for Color guard will also be made.  It will be smaller for use indoors at guard contests and performances. 

We hope to have the banners by the Spring Concert.  If not, they will be used for the first time at the Courtyard Concert in August.

The band has a total of $27,344.83 in cash balances in both accounts (checking and money market).

The Washington, DC trip is fully paid.

There are 30 students who haven’t paid their band bucks.  Every student going on the trip is paid.  Mr. Kuentz is taking the next step with statements on the students who haven’t paid.

Funday Sunday Report by Becky Plemons
This event is April 17, 2005 (this Sunday) from 1:00 p.m. to 5:00 p.m. at Leon Springs Dance Hall.

Money for the meal tickets is overdue.  We need to set the number of meals on Thursday.  We don’t order that many extra meals so PLEASE turn in your money as soon as possible.

All students received 6 tickets at $7 in advance and $7.50 at the door.  It is for a fundraiser.  Plates cost us $4.25.

Before tonight, we had only 30 students turn in money/tickets.  We’ve normally had about 450 tickets sold.  All tickets have a number on them.  We track tickets used and the “owner” of the tickets are obligated to pay.  Please return unused tickets.  We audit the tickets afterward.  It is hard if too many people want to pay that day.

Jacqueline Ortiz is the Grand Marshall; she’s a WOAI weekend news anchor.

There will be performances by the Clark Jazz Band, the Rawlinson Middle School Jazz Band and the Royal Kustoms band, former high school band students.

Please come help set up at 10:00 am.

We need some volunteers to sell game and food tickets and work at silent auction.  There is a signup sheet tonight.

Fiesta pins are for sale for $5. They are also at the Fiesta Store on Broadway.

Scrips Report by Elaine Hutzler

May is our last month for scrip this school year.  We made over $6,000 in scrips this year.  We will continue through the summer.  The due dates for the summer months will be on the website when they’re set.  Check the website regularly for changes in vendors.

Hospitality Committee Report by Becky Plemons

Thanks to Cindy Castro for the refreshments tonight.  The Hospitality Committee is in charge of concessions this Friday for 4A UIL.  We still need help that night.  There are sign ups at the table.

Band Booster Advocacy Group Report by Debi KorinchockUnfortunately, the effort has stalled because the other band booster organizations have not yet provided any information on their volunteer hours, booster budgets and student achievements.

We do have information on Judson ISD and NEISD, both of which have 3 or 4 band directors and assistant directors at every high school and 2 or 3 at every middle school.  NISD funding per student is also behind these other districts.

Rawlinson Middle School is losing their assistant band director, as are two other middle schools.  Elaine Hutzler has been researching this and expressing concerns over this to school administrators. 

All the parents were encouraged to contact their board of trustee members and express their support for band program funding.  Contact can be by e-mail or phone or by appearing at board meetings and signing up to speak.

We will keep trying to get the information together we need to advocate with school district decision makers.
