Clark Band Boosters General Meeting Minutes
Tuesday, March 8
, 2005
 

1.  Meeting called to order by Becky Plemons at 7:06 p.m.

2.   A jazz combo made up of five Clark Jazz Ensemble students performed three numbers for the meeting attendees. The musicians performing included Derek M. on guitar, Mike C. on bass, Connor McD. on trumpet, Joshua M. on tenor trombone, and Mark R. on drums.

3.  Minutes from the February 8th Booster Meeting were adopted by unanimous vote. Mike Hutzler made the motion; seconded by Judy Bray.

4.  Report from Band Directors – Mr. Kuentz, reporting

a.  New student teacher is Melanie Kirkpatrick, who will be at Clark through April. She was not present at the meeting.

b.  UIL Regional Solo & Ensemble Contest was held Feb. 17th. Remind students who qualified for Texas State Solo & Ensemble Contest (TSSEC) that registration is open until April 1. To register, students must bring a check made out to TSSEC to one of the directors. $15 for each solo; $7.50 per person on ensembles.

c.  Clinicians from TSU worked with Jazz Band on Feb. 25th. 

d.  The Band’s Fall marching show is in the works. It will feature the works of Eric Whitacre, a young, accomplished band composer with diverse music style.

5.  Report from President – Becky Plemons

a.  Spaghetti Dinner was a big success. Many thanks to Karen Hickman, Lori Davis, Susan Guinn, Connie Somers and all of the committee members and helpers.

b.  Debi Korinchock and Becky Plemons attended “Common Cause, Different Duties, a Discussion of the Respective Responsibilities of the School District and School-Related Organizations in the District” on Thursday, Feb. 24th at the NISD Activity Center. Biggest takeaway: It was recommended that Clark Band Boosters purchase liability insurance in case someone gets injured at a Band event that is not a designated “school event.” The liability insurance is not a requirement, just a strong recommendation. The Clark Band Boosters already have an assurity bond valued at $25,000, but are looking into also purchasing liability insurance for the 2005-06 school year. It may be possible to purchase both coverages as a package for about $400-450, which is discounted from purchasing only one coverage or the other.

c.  Nominating Committee for 2005-06 Executive Board officers was named. Becky asked Elaine Hutzler to chair the committee, and appointed Gus Belitzer and Mr. Kuentz to serve as committee members.  Additional nominations were taken from the floor, and Karen Hickman and Lynn Lee were nominated and voted in to serve as nominating committee members.

d.  The Jan Eulenfeld Band scholarships are open to senior Band members. To be considered for one of two $500 scholarships, senior Band students must submit an essay addressing, “What Has My Band/Guard Experience Meant to Me and How It Has Prepared Me for My Future." The deadline to enter is Thursday, April 28m, 4:00 p.m. Additional details are posted on the Band’s Web site.

6.  Report from 1st VP Fundraising - Mary Lee

a.  Pizza Kit Fundraiser was extended until Feb. 25th. Delivery date Mar. 10th, 3:30 - 5:30 p.m. in the band hall. $150 shipping had to be paid because minimum of 300 orders for free shipping was not reached.

b.  Krispy Kreme Fundraiser ends Friday, Mar. 11th.

7.  Report from 2nd VP NISD Concessions - Gloria Chavez

a.  No signups were available at the meeting.

b.  All March concession slots have been filled; April signups will come later.

8.  Report from Treasurer - Gus Belitzer

a.  Financial overview through Feb. 28th: Regular checking account balance: $9,622.33; money market account balance: $20,915.72.

b.  Reminders showing Band Bucks and Washington trip balances were sent home with approximately 50 students last week.

c.  Final Washington, DC trip payment of $120 is due this Friday, Mar. 11th, by 12 noon. Balances must be paid in full by this time, or tickets cannot be issued.

d.  Band Bucks balances must also be paid by Friday, Mar. 11th.

9.  Report from Guard Representative - Judy Bray

a.  Feb. 18th – 20th, Winter Guard traveled to Arlington for its first contest of the season. Clark placed 18th out of 39 teams in preliminaries. Did not advance to finals.   

b.  Winter Guard placed 2nd out of two teams in their division at TECA competition at South San High School on Saturday, Feb. 26th.

c.  WGI Power Regional competition was held at Freeman Coliseum on Mar. 4th & 5th. Clark placed 4th out of 15 teams in preliminaries, 10th out of 45 in finals.  Good attendance from Clark supporters at the event. Thanks to everyone who came out.

d.  TECA competition this Saturday (Mar. 12th) at New Braunfels High School. Clark will perform at 4:20 p.m. Solos and ensembles will also be performed.

e.  TECA competition to be held at Clark on Mar. 26th. 35 teams are signed up to compete. One admission price ($6) for all day; wrist bands will be issued so people can come and go. No name yet for event. Volunteers are needed to help. Contact Judy Bray if interested.

f.   TECA State Competition at West Campus High School, April 2nd. Performance time will not be known until week of event.

10. Report from Corporate Liaison – Jim Bray (absent); reported by Mr. Kuentz and Becky Plemons

a.  Update on shed for band trailer: Joe Martin, NISD Chief Engineer came out and took pictures and measurements, looked at foundation. Estimated cost $10,000 - $11,000. Considering submitting money to NISD with contract stipulating a deadline to have the shed completed.  

11. Reports from Standing Committees

     a.  Membership - Karen Leach (chair)

1. Please call or email with any changes of address, phone numbers, etc.

     b.  Spaghetti Dinner - Karen Hickman (chair)

1. Thank you to great committee; great attendance; great music.

2. 732 tickets were sold, 667 meals served; 19 meals (left over) given to workers.

3. Dinner made $4,920.52. Bake sale made $542.52.

4. Proceeds will be used to purchase banners for the Band:

    one for parade, one for stadium; possibly a third for the Guard.

    Debi Korinchock is working on getting samples for April Booster meeting.

     c. Funday Sunday – Becky Plemons (chair)

1. April 17, 2005, Leon Springs Dance Hall, 1:00 – 5:00 pm.

2. 250 lapel pins have arrived from Pro Specialties. 

    50 were delivered to the Fiesta Store to be sold on consignment.

    Pins were available for purchase at Booster meeting for $5 each.

3. Rawlinson and Hobby Jazz Bands have been invited to perform;

    neither has yet confirmed.

4. Frances Berthold is coordinating the games.

5. Bun & Barrel will cater the BBQ meal.

6. BBQ meal tickets are being distributed to students this week for advance sales.  

7. Still looking for a grand marshall for parade;

    Lesley Bohl Jones declined due to previous commitment.

8. Donations are still needed for the silent auction.

    Committee has done a great job getting businesses to donate, but more are needed. 

    Volunteers are also needed to help with the silent auction on the day of the event.

    Contact Ramona Teter Lonas if you can donate an item or help with the event.

     d. Scrips - Elaine Hutzler (chair)

1. April order will be due on Mar. 29th, instead of April 1, due to inventory in early April.

2. All March orders have been picked up.

3. Check Web site regularly for changes in merchants and percentages.

     e.  Hospitality - Cindy Castro (chair)

1. Committee is selling concessions during the Middle School UIL Concert & Sightreading

    Contest on Mar. 8th and 9th.

2. Concessions are being run differently from previous year due to new food laws.

    Can sell in courtyard only after school lunch periods, but no candy or sodas may be

    sold until after 4 p.m.

     f.  Band Banquet – Tammy Nicholson (chair)

                   1. Westin Riverwalk Hotel on Friday, April 8th, 7 p.m. - midnight.
                  Any students who leave before the banquet ends may not return.
              2. This year's menu will be more "teenager-friendly.
                  Students will be able to select their menu choice in advance.
                  Menu selections must be turned in at least five days prior to event.
              3. Tickets available for purchase tonight through April 1st for $25 each.         
                  The Westin must be guaranteed 140 plates, so at least 140 tickets need to be sold.
             
4. Senior students who plan to attend may attend for free, but must purchase ticket.         
                  Their money will be refunded at the event if they show up.
                  Senior no-shows will not receive any refund.
              5. Volunteers are needed to sell tickets during school day, and for other miscellaneous tasks.
                  Contact Tammy Nicholson if you can help with either.
              6. Only Clark Band/Guard students may attend.
                  Senior parents may attend, but must purchase $25 tickets if they plan to eat.
                  Other parents may also attend, but students generally don’t want their parents there.
              7. 3B Photography has been contracted to do photographs at the banquet.
                  Packages range from $15-$30. Orders and payments will be taken at the event.
                  Delivery within two weeks.
              8. New disc jockey this year: John Moore. Cost: $350.
                  Will provide list of 200 most requested songs, so students can indicate their preferences.
                  Will play only after 9 p.m., due to skits, dinner, etc.

g.  Spirit – Tammy Nicholson (chair)

                   1. Some decorating will take place for Winter Guard’s TECA State Competition and
                  UIL Concert & Sight Reading contests.
