Below
is a summary of the primary responsibilities of each of the
Tom C. Clark Band Boosters
standing committees. This is not an exhaustive list of
responsibilities, as other functions may be necessary
throughout the year.
Note:
When the term “Band” is used, it refers to the Clark Cougar
Band program, to include both instrumentalists and color guard
members.
Responsibilities Common to All Standing Committees:

Submit a year-end report to
the Band Boosters Board by May
31, 2006, summarizing committee activities for the 2007-2008 school
year. The report should also highlight any successes,
lessons learned, and/or opportunities for improvement
experienced or observed during the year. Reports are to be
submitted by committee chairs.

Keep the Web Site
Committee up-to-date with information regarding committee
functions and events to ensure timely communication to band
students and families.
Membership/Directory Committee -
Actively promotes and encourages
membership in Band program and Band Boosters organization
throughout the year.
Coordinates and manages production and
distribution of band/parent membership directory.

Obtains
contact information, volunteer activity interests, and
communication preferences from all Band families.
-
Welcomes new students and their families.
-
Maintains up-to-date roster of participating students and
booster members.
-
Coordinates recording and
distribution of broadcast messages through Clark
High School’s automated
phone system.
-
Publicizes advertising specifications and prices to Band
families.
-
Encourages students and families to purchase ads to
recognize band students, and to sell business ads.
-
Collects all appropriate student and parent information and
submitted ads, and prepares them for printing.
-
Delivers all prepared directory content materials and
coordinates printing with NISD Printing department.
-
Distributes completed directories to students.
First Aid Committee
- Provides
first aid and other assistance to students during after-school
band practices.
-
Coordinates volunteers to ensure first
aid station is staffed for each after-school practice.
-
Ensures that sufficient first aid
supplies are available in the medical supplies bag.
-
Sets up and dismantles first aid
station at each after-school practice.
-
Ensures station is equipped with
medical supplies bag, notebook of medical release forms, and
water at each practice.
CD Production Committee
-
Ensures
production and distribution of music and photo CDs from band
concerts and activities.
-
Designs,
orders and sells CDs - audio of concerts and photo album.
-
Coordinates professional audio recording of band concerts
when requested by band directors.
-
Facilitates delivery of CDs to parents and students.
Spirit Committee
- Promotes spirit and enthusiasm among
band students and Band Boosters organization.
-
Designs,
orders and sells Band Boosters custom shirts to booster
members.
-
Orders and sells spirit items at meetings, games and other
events as appropriate.
-
Arranges
for and provides spirit
bags to students before designated events.
-
Decorates band hall and
guard hall as appropriate for UIL Marching Contest, UIL
Concert & Sightreading Contest, Winter Guard contests, and
other events.
Concessions Hospitality Committee -
Coordinates
concession sales for band-related activities hosted by Clark
High School, such as middle school UIL contests and DC
Festivals.

Plans and
coordinates
concession sales during middle schools’ UIL Concert and
Sightreading Contest., DC Festivals, Winter Guard contests
and other activities.
-
Purchases food and drinks for sale at these events.
-
Coordinates volunteers to work at these events.
-
Ensures serving of food
and/or drink is in accordance with Texas Public School
Nutrition Policy (effective 8/1/2004), when required.
Events Hospitality Committee -
Coordinates and hosts activities
of a social nature which involve the serving of food and/or
drink refreshments or meals.

Assists senior class
students in planning of the Senior-Freshman Party.
-
Plans and coordinates pool
party for all students.
-
Arranges for and/or
prepares and provides meals and/or snacks for judges at
designated activities.
-
Monitors inventory of Band
Boosters supply closet and restocks supplies as necessary.
-
Plans and coordinates
faculty-parent breakfast held on day of winter concert.
-
Ensures serving of food
and/or drink is in accordance with Texas Public School
Nutrition Policy (effective 8/1/2004), when required.
Marching Uniforms Committee
- Manages distribution and maintenance
of band marching uniforms and related accessories.
-
Conducts
fittings and assigns
uniforms to all participating students.
-
Maintains up-to-date
records of uniforms by size, number, student, etc.
-
Maintains an emergency supply
of shirts, shorts, socks, shoes, etc.
-
Distributes and collects
uniforms before and after events.
-
Helps students when
dressing for an event, as needed.
-
Ensures all necessary performance and uniform accessories
(plumes, baldrics,
podium skirt, rain
ponchos, etc.) are loaded onto trailer before traveling.
-
Prepares uniforms for dry
cleaning.
-
Sorts and stores uniforms
after dry cleaning.
-
Ensures uniform rooms are
properly maintained.
Concert Uniforms Committee
- Manages distribution and maintenance
of band concert uniforms and related accessories.
-
Conducts
fittings and assigns
uniforms to all participating students.
-
Maintains up-to-date
records of uniforms by size, number, student, etc.
-
Distributes and collects
uniforms before and after events.
-
Prepares uniforms for dry
cleaning.
-
Sorts and stores uniforms
after dry cleaning.
-
Ensures uniform rooms are
properly maintained.
Chaperones Committee -
Coordinates and manages adult
(parent/guardian) supervision of students during off-campus band activities.
-
Schedules chaperones for
activities or events as necessary.
-
Informs all chaperones
regarding rules and procedures to be followed.
-
Provides chaperones with
name tags and student lists.
-
Coordinates schedules and
routes with directors and bus drivers.
-
Displays visible identification (bus number) on each bus.
-
Maintains up-to-date
medical records and release forms for all students.
-
Maintains first aid
supplies/bag, and provides first aid to students as needed.
-
Prepares water coolers and
loads
them onto trailer before traveling.
-
Ensures students, directors and crew are provided
with water, snacks, etc.,
as needed.
-
Loads plumes, baldrics and
any other necessary uniform accessories
onto
trailer and distributes and collects these items before and
after performances.
-
Ensures all volunteers have submitted Criminal History
Authorization forms and have been cleared by NISD.
Publicity/Web Site Committee -
Publicizes activities, achievements and other
Band-related information via the Band Web site and other media
as appropriate.
-
Pursues media opportunities to promote awareness of the Band
program in the local community.
-
Plans and coordinates initiatives to promote the Clark Band
and continued music study to local middle school band
students.
-
Reports Band student
achievements to NISD.
-
Provides ongoing, timely
communication of Band and Band Boosters information and
visuals on the Band Web site.
-
Manages technical
maintenance of the Band Web site.
-
Prepares
responses or coordinates responses to signed emails sent to
the Band Web site.
-
Prepares and sends mass
communication emails to Band families when requested by Band
Boosters Board member(s).
Band Banquet Committee
-
Plans,
coordinates and manages production
of
annual band banquet for Clark Band students.
-
Schedules and confirms event
date with directors, Band Boosters Board and school
administration.
-
Reserves event location and obtains
signed contract from provider.
-
Plans and coordinates
theme, menu, decorations, program, and favors.
-
Coordinates collection of senior photos and bequeaths for
senior tributes.
-
Designs and prints
invitations and programs.
-
Invites appropriate
honored guests, as requested by directors, Band Booster
Board or school administration.
-
Produces and sells
tickets.
-
Assists with junior class
skits if needed.
-
Coordinates production of
slide show, provides screen and arranges for set-up of all
required audio-visual equipment.
-
Secures photographer and
DJ and obtains signed contracts.
-
Produces ribbons and other
awards following student elections.
-
Contacts
Chaperones Committee chair to arrange for parent supervision
of the event.
-
Reimburses ticket cost to
attending seniors.
Pit Crew Committee
- Coordinates and manages the handling and
transportation of instruments, flags and other equipment for
and during all off-campus Band activities.

Trains volunteers in procedures for loading, unloading and set-up.
-
Schedules and coordinates
truck(s) and driver(s) to pull trailer(s).

Schedules and supervises
other crew volunteers

Assists students in
loading and unloading the trailers.
-
Assists students in moving
instruments on/off football field, stage, etc.
Scrips Committee -
Manages all ordering and distribution
activities regarding monthly gift card/certificate program
fundraiser.
-
Provides Scrips program
information to students and families.
-
Determines monthly
ordering deadlines.
-
Collects, prepares, and
submits monthly orders to the Scrips company.
-
Contacts participating
families and arranges for distribution of orders.
-
Provides Band Boosters Treasurer with monthly reports of
financial activity and applicable Band Bucks credits for
individual student accounts.
Spaghetti Dinner Committee
- Plans, coordinates and manages
annual spaghetti dinner fundraising event held in
Clark High School cafeteria.

Schedules and confirms event date with directors, Band Boosters
Board, school administration and cafeteria manager.
-
Coordinates with cafeteria manager regarding use of kitchen.
-
Secures caterer and set-up.
-
Secures needed supplies and beverages through purchase
and/or donations.
-
Ensures that the event is publicized to the school, faculty
and feeder middle schools.
-
Obtains signed contracts.
-
Plans and coordinates cafeteria set-up requirements,
decorations, bake sale, and entertainment.
-
Produces and distributes tickets to students, and manages
ticket sales.
-
Schedules and coordinates volunteers for set-up, serving and
clean-up.
Fiesta “Funday Sunday” Committee
-
Plans, coordinates and manages annual fundraising festival, an
official Fiesta event held during Fiesta week.
-
Schedules and confirms event
date with directors, Band Boosters Board and school
administration.
-
Reserves event location
and obtains signed contract from provider.
-
Registers with the Fiesta
Commission and attends Fiesta Commission meetings.
-
Designs, orders and
coordinates sales of commemorative pins through Band
Boosters and the official Fiesta Store.
-
Secures caterer and
obtains signed contract.
-
Plans and coordinates
parade, booths, games, silent auction and entertainment.
-
Schedules volunteers and
coordinates volunteer work assignments.
-
Provides event security.
-
Provides a first aid station and attendant(s).
-
Produces and distributes
meal tickets, and manages ticket sales.
-
Publicizes the event.
Senior Gifts and
Recognition Committee
- Plans and coordinates events for the
current graduating senior class.
-
Makes small mums to honor seniors at designated Clark
football game.
-
Organizes bequeaths and individual collage of pictures for
each senior for the Band Banquet.
-
Organizes and arranges for senior pillows to be made and
presented to seniors and end-of-year concert.
-
Mails out scholarship applications and senior
questionnaires.
-
Collects scholarship applications, arranges for judges and
prepares certificates to present to scholarship winners at
end-of-year concert.
Food and Merchandise Committee
- Plans meals and sells merchandise to
Band Booster members.
-
Takes orders and collects money for prearranged meals before
Friday night football games.
-
Collects money and delivers items sold by Band Boosters,
such as booster shirts, hats, jackets, competition patches
and charter buses.
-
Arranges meals or snacks for Thursday night football games
and competition days.
-
Collects money and delivers items ordered from other
vendors, such as yard signs and window decals.
Grant Proposals Committee
- Seeks out, researches and pursues any
grants the Clark Band Boosters
may qualify for.
-
Works with band directors to document grant dollars in
action.
-
Serves as liaisons with the middle school band directors.
-
Fills out necessary forms or reports for grants received.

Accounts for money spent.
